Handover: Started to work on clearing up my drives and creating a general purpose Publicity Handover document.

Handover: Finishing my handover document and hopefully having a great handover with my successor!
Drive: Sorting out the Publicity drives so that they are tidy and ready for the next person to use.
Outstanding projects: Needless to say that there have been various projects that haven't been completed this year - thanks COVID! I hope to tidy up as many loose ends as I can however, and anything unfinished can be left for my replacement to pick up if they choose.
Invited Internationals to online SSAGO: an Irish and a German university scout joined
Relations with PfAU (Germany): took part in their group founder meeting, to get to know them and also to hopefully help found a group in Lübeck when I'm there
Involvement in the Badge Team: taught two people how to upload badges, took part of regular organisational work (voting, uploading), contact with the supplier of our custom badges (will hopefully be sent soon)
Aims
International attendence at SSAGO events: I'll be in touch with Irish, Dutch, German and other international student scout groups and invite them to both virtual and in-person SSAGO events
SSAGO visiting international events: I will keep an eye and an ear out for events by international student scouting groups (like the Irish Rover Intervarsities) and hope to make it possible for SSAGO members to join
Answering questions by internationals: I'm more than happy to be contacted by exchange students, both incoming and outgoing, and get them in contact with local clubs if there is one known to SSAGO!
Promoting an international atmosphere within SSAGO: Discord has done an awesome job at getting SSAGOers and student scouts from different coutries talk to each other - my goal is that this international community is preserved even after lockdown is over!
Back to University and Reps: Return to university meant I had an abundance of coronavirus related risk assessments to read! Luckily everyone seems well trained in writing risk assessments as the quality of them was excellent.
A lot of admin, meetings and emails: I won’t bore you with the details but in summary it included getting more info for Coronavirus guidance (who’s surprised), contacting SAGGA, GDPR related challenges, more risk assessments and so on.
Policies: I also updated two policies, Accident and Incident Reporting and Electioneering Code of Conduct.
Coronavirus: Another month, another lockdown, which means releasing more guidance about Covid-19!
Under 18s: As some of you may have seen, I investigate responded to an issue related to under 18s on the discord (thankfully of which there are none!)
Events: I also supported Build-a-Rally before and during their event, hopefully some of you would have finally got to see my face at the closing ceremony! I also attended a ‘Meet the Exec’ session during Build a rally and had some fun chats with some of our members. We ran this session to improve the communication between Exec and SSAGO. Well done to the committee for running a fabulous event! I have also continued to have meetings with our future events to help them run the best events they can. Unfortunately this has meant cancelling City of Steel Ball and moving GRYR online.

Rally Feedback: Work with Build-A-Rally and the Events Officer to find out what worked well and what could be improved for future online events. I’m keen to use the fact we actually had an event to start this buddy system I’ve been going on about!
Charity Status: Create a step by step guide on how to become a charity
Policies: Continue to update policies
Discord: Starting a sustainability channel on the discord – starting with a Christmas theme
SSAGO Online: Spending on the discord, zoom and online activities has continued. We have added a second zoom account due to demand. Current spending is at about £65- £75 a month.
Lloyds account: I now have access to the Lloyds account and hope to get a card running on that account soon. This will be used for purchasing shop stock and paying for online SSAGO subscriptions.
Insurance: Brittany handed over insurance to me
Accounts: I have continued to work on the accounts ready for the AGM.
Misc: Met with some events committees, started making a breakdown of where your membership fees go, and I took a break from SSAGO to recover from illness.

Indie and Associate Rep Elections: After a very unprecedented and drawn out election I finally managed to elect new Indie and Associate Reps! I have had handover meetings with both and I am very excited by their plans for the year
New year, new members: September/October was a busy time for SSAGO with recruitment working differently for many clubs. I took this opportunity to ensure all new members were informed about SSAGO as a whole by adapting the “New Club Welcome Pack” and creating the “New Members Welcome Pack”. This pack gives an in depth overview of SSAGO and how it works and who to contact. It was sent to all new members who joined in September/October
Virtual SSAGO: As is the new normal virtual SSAGO has become a big part of my role. I have taken part in events including Build-a-rally and giving a talk about National to SSAGO at the League of Midlands Virtual Fresher’s event. I have also helped support members create their own virtual events such as the SSAGO Bookswap and the new National SSAGO Secret Santa. I also continue to be active on the SSAGO discord and have particularly enjoyed the activities provided by the new Indie Rep
Reps/survey follow-up: After the last Reps meeting and following on from the Full Members Survey I checked in with clubs who expressed concerns about the new academic year and recruitment. I also answered several general queries and misunderstandings that arose.
Queries/issues: Having everything online has come with a new set of challenges from communication to general technical issues. I have, along with the rest of the Exec, taken each challenge as it comes and tried to come to reasonable solutions

Membership Fees: Unfortunately it is coming to that time of year where I will be chasing clubs to pay their National Membership Fees. I will be working alongside the Treasurer to ensure the logic behind these fees is communicated and that the process of paying them is clear and smooth
International Officer: Now the Indie/Associate elections are out of the way I will begin the recruitment process for a new International Officer.
Record Management: I have recently noticed that some members details on the website aren’t accurate/up-to-date so I will be ensuring clubs/individuals are monitoring and updating their details as required, particularly with Membership looming. I will also be working with the new Indie/Associate Reps helping them keep on top of their memberships
New Clubs/Members Welcome Pack: Now the “New Members Welcome Pack” has been created and sent out I would like to gather some feedback from both the new members I sent it to and the new clubs I have sent it out to over the past few months to ensure the information is relevant and useful
Virtual SSAGO: I have loved getting involved in virtual SSAGO of all forms and hope to continue to support any events both big and small however I can
Build-A-Rally: I tried to combine and channel all our digital and virtual offerings in the support of Build-A-Rally and the move of the event to entirely virtual, as well as brand new parts of the booking process to link activities to virtual activities.
Supporting Virtual SSAGO: I am continuing to do my best to support Virtual SSAGO, both in terms of events and infrastructure on a national level
Supporting Clubs: I am continuing to do my best to support clubs with their digital requirements, from Zoom to Discord to Minecraft to events and activities.
Encouraging Engagement: I am doing my best to encourage and support people wanting to run Virtual SSAGO events
Membership Support: I have worked to support the Membership Officer in being able to contact new SSAGO members, find inactive clubs and members as well as identifying those members which need support

Virtual Team: I want to get more people involved with Virtual SSAGO both in terms of events and in terms of infrastructure and am working to grow the Virtual SSAGO Team
Virtual Calendar: I am working towards developing a Virtual Calendar of all virtual events to make it easier for people to find, register interest, join and advertise events that are taking place.
More Virtual Activities: I would like to continue to work towards supporting and hosting more virtual events and activities and in making it easier for clubs to host these at a club and national level
Shop: I am working to get the online Shop back up and running which has been closed for some needed maintenance and updates
Supporting Team Pink: Continuing to work with the members of Team Pink on the various web projects - from badges to the archive to behind the scenes admin that needs doing
Supporting Clubs and Members: Continuing to work with clubs and members to ensure the national provision is helping them and helping keep people engaged in SSAGO
Liverpool Guild of Students has finally let me get the shop stock home, so I’ve been working my way through a complete stock-take of everything we have, which will be updated online before the shop opens.
I’m waiting for an agreement on the best colour and quality match from all our options for necker suppliers, as soon as a decision is made the order will be placed.
A few people have sent me ideas of what they want to see for sale with the SSAGO logo emblazoned on it, I’ve been investigating options for new items. I don’t want to end up with stock that won’t sell (Yes - like the flip flops. No - I’m not reordering flip flops!) - so I’ll be asking for expressions of interest shortly, before I place any orders.

Reopening the Shop: My number one task is to get the shop back up and running efficiently.
Clearing old orders: There is a backlog of nearly 100 orders in the Shop that need either extra items sending out, or are waiting for new stock to arrive before I can complete the order - so thank you for being patient - my first job as soon as I am able is to get those orders completed and reopen the shop once again!
Restocking Neckers: National neckers that properly match the old ones will be available to buy soon! I have never been so excited about neckers.
New items: We have some ideas for new items to add to the shop; not just more green clothing! This includes the possibility of notebooks, sporks, tea towels etc! Long term: POS Efficiency -: I'm working with Oli to make the electronic Shop system work more efficiently for us, including being able to use it as a more integrated till at Rally, which will make stock control much easier for me.
Social Media: As requested by Reps I produced a load of Social Media posts outlining what Team had been up to before the last Reps meeting. In a bid to help people understand more about what we do. There’s also been promotion of Build-A-Rally and the Indie and Associate Rep Elections
Resources: Uploaded new photographs, all the flyer designs, pull up banners, sail flags and rectangle banner designs.
Spoons badges: First two batches (about 90%) of badges have been sent out - many, many parcels and envelopes have been sent out.
Archives: We’ve had some social media posts from the archives but most significantly I’ve helped Larah to update the History page on the website.
Misc: Lead a review of the Branding and Publicity policy, checked some Risk Assessments, met with some of the Event Committees and a couple of news articles produced here and there.
Aims
Restarting the media team: As some of you will be very pleased to hear, I can’t be Publicity Officer forever. I’ll be setting up the Media Team again, to allow creative people to contribute to SSAGO’s publicity.
Policies: I want to continue to look at SSAGO’s current policies and hopefully help push a few more updates through.
Social Media: I hope to continue to produce SM content over Christmas and we’ll hopefully run a new “World Cup Of”
Handover: I want to be leaving the Publicity Officer role in a good state and have a nice transition for whoever my predecessor is. Lots of good ideas haven't happened this year (badges) so I hope to spend the next few months writing a killer handover document and collating my ideas.
Over the last few Months I’ve been helping the Exec with handover in relation to everything to do with National Events. The Exec and Events Officer have met up with all the National and International events since the new Exec taking over and one of the major requests from these meetings was better access to resources. The National Secretary and myself updated and rearranged the Events Resources Google Drive Folder and added more resources to the folder so that it is easier to navigate through the folder and find what is wanted easily.
A lot of meetings have taken place over the last 3 months. Event committees have been very busy despite the exam season which has meant lots of meeting’s minutes to read through. I have been working very closely with Viking Rally helping them get ready for the big return of SAGGO Rallies.
Everyone loves a mascot in SSAGO and I’ve been in this role now for over a year ( and still no in-person event) but I still do not own a physical mascot for the Events Officer. This will be a top priority along with the car and van magnetic SSAGO reflective signs. Further things that will be done is updating and restocking of the first aid kit which a lot of things have unsurprisingly gone out of date since the last in person event, and updating the How to run a Rally document.

-The Events Officer still doesn’t have a mascot, So I will endeavour to get one before the next (first in a while, I’m so excited) in person event.
-Bring the SSAGO magnetic signs to the next in person event.
-Update the out of date first aid kit for future events.
Records management: Continuing to work with Britt and Oli on our records management processes including archiving past event folders.
Arranging and packaging our physical archive: I have gone through the old chairs folder to arrange, catalogue and put into archive quality folders.
Appointing a new archivist: It's now time to step down from the role after 4 years and I have appointed Charlotte Simmons as the new archivist. So there will be 2 archivist for the time being since there is a lot to handover!
Met with Liverpool: Charlotte and I met with Liverpool to talk about archiving and managing records. They are keen to set up a club archive ahead of their birthday year next year! We are looking forward to see what they archive and when possible set up a physical collection at their university.
New guidance for clubs: Charlotte and I have written a guidance document for clubs. This goes through how to manage your records, how to set up an archive and how to grow it. We also have advice on physical archiving and what to do if your club folds.

Digitisation: Digitise the old chair's folder so that we have a back up and future team pink members can access them if they need to.
Hi, I’m Amy and your new membership officer! I am just coming to the end of my time at the University of Hertfordshire (studying Physics) where I help found HUGGaS as the treasurer (a role I have kept for the last 3 years!). Whilst I am sad to leave behind the society I helped create, I am ready for bigger and better challenges and that’s where joining the exec comes in!
Having joined SSAGO originally as an Indie member and then forming a club at my own university I felt members officer was definitely the role for me. Guiding has always been a part of my life, being the third generation in the organisation, so obviously I was part of every section and then became a leader in my own right (plus I even spent a few years in Scouting just for good measure!). I have loved helping at my 2 Brownie packs whilst at university but being in SSAGO has truly allowed me that well needed break from studying and has allowed me to make loads of new friends (something I hope continues in my time as membership officer).
In my term as members officer I would like to introduce a buddy system for Indie members attending national events, ensure all membership is paid and support those clubs who may be struggling financially and just be a friendly face to all members.
I can’t wait to meet you all and continue my SSAGO journey!
The last year has been a whirlwind for me, but I have now moved house and there is plenty of room to keep all the SSAGO shop organised and running more efficiently.
I've sourced swatch cards for every necker supplier I could find, and I'm working with Oli to make sure we can get the best quality, closest colour match for when the shop is restocked - I can’t wait to get that job ticked off and have hundreds of neckers in stock for everyone who’s asking for them!
After being unable to run the shop myself at the last Rally, all the stock was put into storage in our Guild of Students for me to collect... then everything shut down and I haven't been able to access it yet! Sadly, that means that this last term has been a pretty quiet one for me - but that will all change soon!
Aims

Event Postponement: I’m not going to lie, the beginning of my role on Exec was pretty sad. Having the new Exec’s first interaction with the event committees be about postponing their events was less than ideal. Thankfully, after a lot of discussions, we managed to provisionally rearrange the events that needed immediate attention. As a result of postponing events, a lot of my role has involved supporting the events in their efforts to plan during such an uncertain time.
Policies and Charity Status: I’ve focused my spare time on working on policies with the rest of the Exec. Originally the Exec went over some policies together to update them, however, I have now delegated them between us to increase the rate at which these policies are updated. In addition to this I have been working on my knowledge on SSAGO’s favourite subject, our charity status.
Online Task Manager for Team Pink: I’ve also worked on improving Team Pinks communication to get tasks done. I worked with Oli on an online task manager, which will help us keep track of tasks, set deadlines, update on progress and allow each member to set and view anyone's tasks.
Coronavirus Guidance: Along with the rest of the Exec, we worked on and are continuing to work on Coronavirus Guidance for SSAGO from Scouting and Guiding. I am also working through all of your risk assessments so keep them coming!
Under 18s, SASU and the USA: Other things I have achieved include writing a fact sheet on under 18s in SSAGO, attending a meeting with the UK Scout Training SASU (Scout Active Support Unit), and most excitingly, I’ve been working with students to create something similar to SSAGO in the USA!

Buddy system: Set up a buddy system with Amy to help connect new clubs and indies with nearby established clubs/indies.
Event Knowledge: Continue working on fact sheets with Anthoney to help with event knowledge.
Improve communication between Exec and SSAGO: Provide more frequent updates either by use of my Exec Facebook page or creating more blog posts.
SSAGO Sustainability project: I’m hoping to get this up and running as it is something I’m very interested in. My provisional thoughts are setting this up as a discord server to share ideas and get people interested.
Policies: Continue to work with the rest of Exec to get as many policies updated before November Reps.
Virtual SSAGO: enjoyed the Discord whilst in lockdown including the Get Active channel and Random Acts of Kindness. Also, taking part in Virtual Witan providing a campfire song and attending the opening/closing ceremonies
Regions: ensured active Facebook groups were set up for each of the regions and connected them to the National SSAGO page to ensure they don't get lost in transition. Also, connecting the groups to the website to make them easier to find and more accessible to new members
New clubs: set up clubs at Royal Holloway, Huddersfield, Universities of Highlands and Islands and Greenwich and the Kent universities. More new clubs in the pipeline so keep your eyes peeled!
Indies: worked alongside the Indie rep to ensure Indie members are kept up to date with everything SSAGO and helped keep the Indie Membership records up to date
General Queries: helped with queries/problems on a National and club level basis particularly to do with the Coronavirus. Also, helped connect local Guiding/Scouting with their relevant clubs/Indies

Indie/Associate Rep Elections: working with Oli and current reps to run to fill these positions and ensure a smooth handover
Potential New Clubs: continue communicating with potential new clubs and help make connections between Indies and universities interested in setting up clubs
Buddy System: the original plan was to set up a buddy system for National Events (balls/rallies) however as this is up in the air the plan is to work with Adele (Chair) to set up a buddy system to connect new clubs with nearby established clubs and connect Indies with other members in their area
Help with any issues with “Virtual Freshers”: for most universities it appears freshers will be virtual this year and with this will come new challenges so I will work with clubs struggling with recruitment or any other issues related to running virtually
Social Media: We’ve had posts introducing the new Exec, some bits from the Archive, some #Onthisday posts, some promotion for our National Events and other online activities, World Cup Ofs and so much more.
SSAGO Supports: I spent a lot of time creating new fancy looking web pages for the summer’s SSAGO Support events and then subsequently took them all down *sigh*. Nevertheless we instead got involved in the Virtual Gilwell 24 activities. Thanks to the great work of some SSAGO members we ran a 30 minute pub quiz.
SSAGO Awards: I worked hard on bringing the new Committee Colander award together back in January and wanted to see it through to the project's end so we ran the 2020 SSAGO Awards as a replacement for Steel Ball.
Policy Updates: I am currently working on the reworked Awards policy, updating the Mascot Kidnapping Policy and eventually will do the Branding and Publicity Policy.

Publicity Materials: Following on from Spring Reps I will be updating the resources section of the website for clubs to purchase their own publicity materials.
Fun Social Media: I will be trying to create a sense of National togetherness on Social Media, with small activities related to clubs and mascots for people to do.
Policy Updates: I will continue to push the policy updates that I’ve started through as well as move on to new ones.
Bagdes:If there is any movement on the technical side of the badge system then I will research further into how this can operate.
Online Promotion: Continue with SSAGO promotion over the Freshers period.
Meetings and Minutes: Attended a lot ot these. All minutes of meetings are on the website.
Coronavirus: Help Adele to update our guidance. Read and responded to a lot of risk assessments as clubs started back up in September and October, and replied to various other queries.
Reps: Worked incredibly hard to get the September Reps online in record time!
Events Facebook Group: I’ve set up a new Facebook group for all current events. The idea of this is that as time passes, new event committees can ask questions there and receive answers from previous events to improve SSAGO’s knowledge sharing and to take some pressure off the Exec!
SSAGO Google Drive: Worked with Larah to tidy up the Google Drive and make our lives a lot easier behind the scenes.
Club Reports: Updated some mislabelled old reports, and am now working with Larah and Oli to make Reports searchable by club. Due to the nature of the old reports this will require a lot of manual work but hopefully the outcome will be worth it!
Reps resources: Finally decided on a sensible location for Reps related items on the website. All items to do with reps (Team Pink reports, Club reports, voting results etc.) will now be found under the relevant Minutes folder for that meeting.
Factsheets: My new project is to update the factsheets, as most of them are outdated and a nightmare to trawl through. I’ve tried to add subfolders in the Factsheet area to make it easier to navigate - let me know if that’s helpful or not, I can always change it back! I’m also starting to compile ‘lessons learned’ from previous events into one Best Practice Guidance documents to provide once clear place committees can go to see what has worked well in the past.

List of what has and hasn’t been approved for the dev fund: make it easy for club to see what has been accepted and also what has been rejected and why.
Set up accounting software to help with accounts: continue preparation for SSAGO to become a charity
Update the rally budget form and write a clear and easy guide to rally finance to help rally committees
Add another bank account for the shop to easily keep track of spending and profit
Produce more statistics and fun visual aids for finances so it’s easier for people to see what ssago spends its money on
